GUIDELINES FOR PARTICIPATION

    • All Program Guide participants must be registered Girl Scouts. If you have questions about your membership status, contact the Girl Scout Council office.
    • TAG-A-LONGS are children who are not registered Girl Scouts, either because they are girls who are too young to register, or because they are boys. Girls in K-12 must be registered to participate in Girl Scout activities. Girl Scout Program is designed for a girl-centered space. Girls need that safe, girl-only setting to build their confidence and to connect with other girls their own age. Some events do allow Tag-A-Longs.
    • Parent Permission For Activity - Following Safety-Wise , written parental/guardian consent is required for every girl wishing to participate in an activity that is scheduled to happen anytime or anyplace outside of the regular meeting time. A separate “ Permission Form ” (form #119) is required for every activity.
    • Field Trip/Progression 1 Travel (form #118a) – Girl Scout troops must submit this form a minimum of 24 hours before activity.

JULIETTES are welcome to attend Program Guide events but must be accompanied by an adult . Juliettes may also attend Program Guide events with a host troop if available….for more information about finding a host troop contact the Membership & Program Department at the Girl Scout Council office. Overnight guidelines apply!


 

 OVERNIGHT ACTIVITIES REQUIRE GIRL SCOUT COUNCIL APPROVAL

  • Please remember that any adult spending the night with Girl Scouts at an event or activity must be a currently registered member and have an approved volunteer application and background check on file with Girl Scouts – Columbia River Council. ( Policies and Procedures For Volunteers , page 10)

  • All Girl Scout troops must submit the following forms before an overnight excursion:

    • Complete all items on the OVERNIGHT / PROGRESSION 2 TRAVEL (form #118b)

    • Include an “ Activity Roster ” (form #101) of all attending (to be updated prior to departure).

    • Submit completed application to VISTA Chair by deadlines noted below

    • Obtain all approvals before making final payments and other non-refundable fees


HOW TO REGISTER FOR AN EVENT

Program Partner Event Registration – Use the contact information provided. Registration, payment and confirmation procedures vary by partner. Guidelines for Participation   apply to all events.

Girl Scouts of Oregon and Southwest Washington Event Registration – For Girl Scout troops/groups or Juliettes (individually registered girls), complete the “ Event/Training Registration Form ” (form #201) found online. Include the REGISTRATION # of the event from the Program Guide listing.

Mail, fax, or drop off the registration form and payment at the Girl Scout Council Office at least 4 weeks prior to the event date.

Girl Scouts of Oregon and Southwest Washington Event Confirmation - After you have submitted your “ Event/Training Registration Form ” and payment, you will receive an event confirmation or waitlist notification. Carefully review the confirmation or waitlist notification. If any changes to the event/training have been made, they will be reflected on the confirmation. For some events, an information letter may be included.

Waitlist Notification – If there are more participants wanting to attend the event/training than the maximum number of available spots, a waitlist will be established. If you have been placed on the waitlist you will be notified if, and only if, a spot opens. If you prefer not to be on the waitlist, please note this on your registration form.


  • Girl Scouts of Oregon and Southwest Washington Event Payment Participants will not be considered registered until full payment is received.

  • If you need to change the number of participants for an event, call the Event Registrar immediately to see if there is availability or to allow other girls to attend.


Girl Scouts of Oregon and Southwest Washington Event Cancellations, Refunds and Credits

CANCELLATIONS – Cancel your event registration as soon as you know you cannot attend. Organizations that we partner with need prior notification to prepare for the accurate number of participants attending.

REFUNDS will NOT be given unless the event is cancelled by the Girl Scout Council Office.

CREDIT will be issued to participants that make a cancellation. You MUST cancel your event registration in writing , 5 or more days prior to the event in order to receive CREDIT. This credit can be used for any Council event, program or training of your choice. Credits are valid for 1 year from the date the original payment was received .
